Private email server setup
A private email server, installed, authenticated and warmed up
We build your private email server on a dedicated VPS with MailWizz, full DNS authentication, multi-domain sending, webmail and IP rotation, then warm it up so it is ready for compliant outreach.
- Your own VPS and IPs
- SPF, DKIM, DMARC and rDNS
- Up to 4 domains per setup
How we configure a private email server
Seven parts, set up in order, so the server is usable and trusted from the first send.
1. Private server on a VPS
MailWizz installed on a secure private VPS for full control of your sending environment.
2. Domain authentication
SPF, DKIM, DMARC and reverse DNS configured for every sending domain.
3. Multi-domain integration
Up to 4 domains added, each with its own sending identity under one server.
4. Sending environment
Domains connected to the server so routing and sending are structured correctly.
5. Webmail login
A browser-based panel to send, receive and manage every account.
6. Gmail app integration
Accounts connected to the Gmail app so your team works in a familiar inbox.
7. IP rotation
Sending spread across IPs to balance volume and protect each IP's reputation.
Handover
Logins, DNS records and a short guide to running the server yourself.
Private email server vs Google Workspace mailboxes
Both are valid ways to send cold email. The right one depends on your volume and how much control you want.
| Factor | Private email server | Google Workspace or Microsoft 365 |
|---|---|---|
| Control | Full: server, IPs, sending rules | Limited to provider settings |
| IP reputation | Your own dedicated IPs | Shared provider IPs |
| Cost at volume | Lower per email as volume grows | Paid per mailbox |
| Maintenance | Needs monitoring and upkeep | Handled by the provider |
| Best for | High-volume, technical teams | Smaller teams, quick start |
How we control deliverability on a private server
A new server has no sending history, so mailbox providers treat it with caution. We build reputation in three layers before any real campaign goes out.
IPs and domains are warmed up with gradually rising volume. Mailboxes are warmed with natural, balanced activity. And we warm up with your real email copy, so providers learn to trust the content you will actually send.
- IP and domain warm-up
- Mailbox warm-up
- Email copy warm-up
- Ongoing checks of blacklists and DNS

Postfix
A reliable mail transfer agent for routing outgoing mail securely.
What is a private email server?
A private email server is a mail server you run on your own VPS instead of a shared provider like Gmail. You control the IPs, the domains and the sending rules.
That control is the main benefit for cold email. However, a private server is only as secure and trusted as its setup. Authentication, updates, warm-up and monitoring decide whether mail reaches the inbox.
Private email server cost: what you pay for
Our setup is quoted per project. The running costs below are paid to your providers.
| Cost | What it covers |
|---|---|
| VPS hosting | The private server and its IPs, billed by your hosting provider. |
| Domains | Each sending domain, renewed yearly with your registrar. |
| Software licenses | MailWizz or PowerMTA, where your setup uses them. |
| Setup and warm-up | Our work to install, authenticate and warm up the server. |
A VPS with MailWizz, SPF, DKIM, DMARC and rDNS for each domain, up to 4 domains, mailbox creation, webmail access, Gmail app integration and IP rotation. Warm-up of IPs, domains and mailboxes is included before handover.
You control the IPs, sending rules and volume, and cost per email drops as you scale. In return the server needs proper authentication, warm-up and monitoring, which is what our setup covers.
Yes. Our standard setup configures up to 4 domains on one server, each with its own authentication records, so you can manage several brands or sending identities in one place and from one panel.
Yes. You get a browser-based webmail panel to send, receive and manage email, and your accounts can also be connected to the Gmail app on desktop or mobile for everyday use.
Installation and DNS work go quickly once we have VPS and domain access. Warm-up takes longer, usually several weeks, before the server is ready for full campaign volume and steady sending.
You pay providers for the VPS, IPs, domains and any licenses. Our setup and warm-up is quoted per project.
Not by default. It is safe when patched, authenticated and monitored. Its main advantage is control over IPs and sending rules.
